What the spreadsheet does well
Credit where it's due: a well-kept spreadsheet handles the weekly map, each student's price and an end-of-month sum. If you have few students, fixed slots and students who never reschedule, maybe this article isn't for you — yet.
The five signs it has grown too small
- You send session reminders one by one on WhatsApp — or worse, you stopped, and the no-shows went up.
- Rescheduling becomes a saga: the student asks on Tuesday, you answer on Wednesday, the slot is gone.
- You don't know off the top of your head who owes you — and find out at the end of the month, along with the awkwardness of charging late.
- Make-ups became a cloud: who is entitled, how many, until when — nobody knows for sure.
- You have already lost a session to a scheduling conflict: two students in the same slot, or a session booked on top of your own commitment.
What to look for in a system (and what to ignore)
The market of trainer apps is big and noisy. The filter we recommend: look for the app that solves your OPERATION — a living schedule, automatic confirmations and reminders, a no-show and make-up rule, billing that goes out by itself — before the app that promises the biggest exercise catalog. A video library is great, but it isn't what makes the student show up or the payment arrive on the right day.
Two underrated criteria: the student must be able to use it without installing anything (every mandatory install is a student who gives up halfway), and the notifications must live where your students actually live — WhatsApp, not an app notification they never open.
The math nobody does
Add up the time per week you spend sending reminders, renegotiating slots, checking who paid and redoing the spreadsheet. For most trainers with 10+ students it comes to 2–4 hours — the price of one or two sessions, every week, paid in admin work. It is that math, not the subscription price, that decides whether a system pays for itself.
